Bear Creek Maintenance is actively seeking a part-time Service Writer/Office Assistant to join our growing team! The ideal candidate will be reliable, hardworking, and must be able to work independently. This position has the potential to turn in to a full-time position.
We are a licensed CVIP facility working on a wide variety of equipment including trucks, trailers, motor coaches, light towers, etc. Our shop offers a fast-paced environment and the opportunity for advancement. Ensuring all paper flow and record keeping for the service department is completed and administered properly and efficiently
Determine and diagnose equipment issues based on customer description and vehicle condition
Translate customer-reported problems to actionable work orders for technicians to complete
Order necessary parts from suppliers and double-check that they are delivered to technicians
Ensure that all work provided to customers meets company quality standards, invoice and collect payment from customers for services rendered
Handle and resolve customer complaints regarding services
Maintain customer records and enter data into computer databases, including receiving parts and returns
Work with Office Manager on day-to-day operations of the service department
Perform various administrative tasks such as filing documents, organizing mail, and tracking e-mails.
Receiving and tracking phone calls, checking the voicemail, and returning the phone calls in a timely manner.
Scheduling appointments, keep track of the appointment’s schedule.
Communicate with clients, suppliers and work associates as required.
Other office activities as determined by the supervisor.
Working knowledge and experience of heavy-duty products, repairs and parts
Strong communication skills and the ability to translate customer needs to workable technician orders
Basic knowledge of computer programs including word processing and database tools
Organizational skills including the ability to schedule appointments, meet with customers, create, and maintain company maintenance records, and ensure that work is done properly
Exceptional customer service skills
Continuing education and knowledge acquisition on the function and repair of newer vehicles
Basic mathematics skills to prepare and process bills and customer payment
Ability to communicate complicated automotive processes to customers who may only have basic automotive knowledge
1 year of office experience considered an asset
1 year of service writing experience considered an asset
